Manager, Operations and Meetings - Association of University Centers on Disabilities (AUCD), Silver Spring, MD

AUCD is seeking a Manager, Operations and Meetings, to assist, support and coordinate activities related to the daily functions of a national, nonprofit association office including human resources, finance, Board support, and office operations as well as coordination of Association meetings to include the annual conference, annual spring fundraiser and network-specific meetings. This position will also support some development activities. The Manager reports to the Senior Director of Operations and Development and is a vital team player in carrying out the strategic priorities and mission of the organization. The successful candidate will be self-motivated as well as possess a solid record of demonstrating great organizational skills and acute attention to detail.

AUCD promotes and supports a national network of interdisciplinary centers on disabilities. Its member centers represent every US state and territory and include 67 University Centers for Excellence in Developmental Disabilities (UCEDD), 43 Leadership Education in Neurodevelopmental and Related Disabilities (LEND) Programs and 15 Intellectual and Developmental Disabilities Research Centers (IDDRC). Together, these organizations advance policy and practice through research, education, leadership, and services for and with individuals with developmental and other disabilities, their families and communities, in support of independence, productivity, and satisfying quality of life.

The AUCD office is located in downtown Silver Spring, MD, one block from the red line Silver Spring Metro station.

Job Responsibilities: The Manager will work closely with the Senior Director of Operations and Development and operations team, Finance Director and accounting firm, project directors, and others to manage the following activities:

  • Manage all aspects of the human resources function for an office of 25 staff to include:

o Managing monthly timesheets and vacation accruals;
o Administering all benefits plans including retirement including liaising with benefits brokers
   and providers on maintenance and annual plan reviews;
o Organizing performance evaluations; and
o Updating confidential employee files as needed.
o Managing hiring processes, including: developing job descriptions, posting for new positions,
   screening resumes, scheduling interviews, and completing reference/background checks.
o Manage onboard of all new staff to include office set up and orientation.
o Making recommendations on improvements to the organization's human resources systems
   and processes.

  • Assist with finance activities to include:

o Accounting paperwork including invoice review;
o Credit card reconciliation; and
o Processing confidential financial information.

  • Coordinate and support office administration to include:

o Working with the Administrative Specialist on office needs and processes, and acting as a
   point of contact and support of office needs when administrative specialist absent.
o Coordinating our intern program to include applying as an employer for intern programs,
   writing intern job descriptions and posting, coordinating intern tasks with departments, and
   looking at additional intern opportunities or programs within which AUCD can participate.
o Coordinating staff meetings schedule and help implement weekly meetings, staff retreats and
   other staff related events.

  • Coordinate, with oversight from the Sr. Director, all logistical and meeting management activities for the AUCD's meetings and events to include:

o Five day, 800+ attendee annual conference in Washington, DC;
o Annual evening spring fundraising event in Washington, DC, for around 350 attendees;
o Two annual association directors' meetings in Washington, DC, each lasting 2-3 days and
   around 100 attendees;
o Three face-to-face Board meetings per year, with at least one in Washington, DC.
o Supervision of the meeting intern.

  • Assist with Development operations tasks to include:

o Management of fundraising data
o Assistance with donor correspondence
o Fundraising events or meeting coordination

  • This position may, over time, supervise other operations staff.

Qualifications and skills:

  • This position requires the ability to prioritize and multitask as well as recognize problems and respond with a sense of urgency, use good judgment and make thoughtful decisions.
  • Undergraduate degree required.
  • Minimum of 5 years' experience in a role with administrative responsibilities at a nonprofit organization.
  • At least 3-5 years' experience in a human resources function at a non-profit.
  • Experience in meeting management with specific experience with association meetings and special events preferred.
  • Basic knowledge of accounting processes.
  • Experience supervising or mentoring others, such as interns or volunteers.
  • Experience working with and supporting people with disabilities a plus.
  • Eye to and experience with supporting cultural and linguistic competence and diversity in the workplace.
  • Proficient with Word, Excel, PowerPoint.
  • Experience with online content management systems a plus and ability to learn new software quickly.
  • Strong communication, writing, and interpersonal skills.
  • Exceptional attention to detail and organizational skills.
  • Excellent time management with a strong aptitude to manage multiple projects/tasks simultaneously.
  • Maturity to handle confidential and sensitive information in a professional manner.
  • Demonstrated ability to working autonomously and in a team.
