Administrative Assistant - Association of University Centers on Disabilities (AUCD), Silver Spring, MD

AUCD is seeking an Administrative Assistant to support the office and administrative functions of our mid-size, nonprofit organization. The Administrative Assistant will provide a variety of supports for both the office as a whole as well as to specific departments. This is a position for someone who has a passion for and enjoys organizing the administrative systems needed to run an office effectively, while working in a creative and collegial atmosphere.

AUCD promotes and supports a national network of interdisciplinary centers on disabilities. Its member centers represent every US state and territory and include 67 University Centers for Excellence in Developmental Disabilities (UCEDD), 52 Leadership Education in Neurodevelopmental and Related Disabilities (LEND) Programs and 15 Intellectual and Developmental Disabilities Research Centers (IDDRC). Together, these organizations advance policy and practice through research, education, leadership, and services for and with individuals with developmental and other disabilities, their families and communities, in support of independence, productivity, and satisfying quality of life.

The AUCD office is located in downtown Silver Spring, MD, one block from the red line Silver Spring Metro station. This is a full-time, in-office position.

The Administrative Assistant will report overall to the Sr. Director of Operations and Development, however, the responsibilities of this position are grouped into the following categories with the respective supervisors indicated:

Office Administration:

- Under the guidance of the Administrative Specialist, provide the following general office support:

  • Support all main phone functions such as the operator line and staff numbers and directory
  • Front office support including greeting guests and assisting with client meetings in office
  • Support office and staff events
  • Support all mail functions including distributing mail, UPS mailings and supplies
  • Update staff contact lists and other staff information as needed
  • Maintain kitchen, copier/supply rooms and conference rooms
  • Assist with general office organization and ad-hoc tasks such as furniture ordering, inventory and other tasks as assigned.

Meeting Support:- Under the supervision of the Manager, HR, Operations and Events, work closely with AUCD office staff,
  network members, external partners, hotel staff and other vendors to:

  • assist in the logistical support of AUCD's Conference which takes place every Fall, and provide on-site support as directed at the Annual Conference
  • support various logistical tasks for the planning and on-site execution AUCD's Gala, an evening fundraising event that takes place every Spring
  • in addition, this position will support other association meeting activities throughout the year

Other department support:

- Provide administrative support as directed by various department/function leads to include:

    Project/program support:

  • copying, prepare documents and materials for meetings, process check requests, update and maintain center network reports, reviewing and updating coalition directories and relevant web links, and annually update data collection forms for network members' federal reporting
  Finance:
  • Collections calls
  • Data entry
  • Finance committee support

    Communications:

  • AUCD publications and give-aways intake, tracking, invoicing and mailing through the AUCD Marketplace site
  • AUCD staff updates, job postings and other AUCD web content as needed

            Other administrative duties as assigned


Qualifications and Competencies:

  • High school diploma required.
  • At least 2-3 years of progressive and related experience.
  • Strong written/oral communication skills including tact, patience, and courtesy.
  • Strong organizational skills, attention to detail, ability to prioritize, track projects and multi-task to meet deadlines.
  • Sensitivity to the needs of persons with disabilities.
  • Demonstrated ability to work independently and as a team.
  • Proficient with Microsoft Office software (Word, Access, Excel, PowerPoint) and general internet skills.
  • Professionalism to deal with confidential matters.
  • In the absence of leadership, exercises initiative and judgment in responding to concerns (both internal and external) or, if unable to assist, promptly refers to the appropriate party or department and follows up to ensure problem resolution.
  • Ability to be flexible and take an optimistic approach to new challenges.
  • Nonprofit experience a plus.
