Trainee Scholarships

Application Deadline: September 27, 2017

AUCD is pleased to announce the availability of 20 trainee travel scholarships of up to $500 each AND 4 trainee volunteer scholarships of up to $500 each to support AUCD Trainees in attending the AUCD Conference. Scholarships are available to (a) current trainees and (b) former trainees presenting work conducted while a trainee and completed their traineeship no earlier than December 2016. Priority will be given to those who have not attended the Conference before. The AUCD Conference is an amazing learning and networking opportunity!

Travel Scholarships (20 available)

Trainees may apply for funding support to attend the AUCD Conference, including hotel, air or comparable travel, or other expenses (excluding registration). Up to 20 trainees will receive these scholarships of up to $500 each.

Travel Scholarship Requirements

  1. Trainees (or their Center) are expected to pay all costs associated with their attendance at the conference upfront in their entirety.
  2. Travel Trainees are required to participate in AUCD's virtual map project. Developed during the 2016-2017 year, the map will highlight emerging diverse leaders in our network. The map will have clickable icons where people can view a trainee sharing their experiences and stories. Every year, the map will be updated with a new cohort of trainees, and the previous year cohort will be archived. The map is expected to go live by January 2018. During the Conference, Travel Trainees will be expected to:
    1. Find a trainee from a different program/center and different discipline than yours and:
      1. Conduct an interview of around 5 questions
      2. Obtain their headshot/picture
      3. Obtain a biography that describes themselves and their experiences (100-150 word limit)
    1. The above interview items are required to be submitted to AUCD not later than 30 days after the Conference (December 8, 2017). Submissions received after the 30 days may result in zero payment.
  3. Attend and actively participate in the Sunday afternoon trainee networking session
  4. Attend and actively participate in the Monday lunchtime trainee focus group
  5. Provide feedback on AUCD materials and resources throughout the year (approximately two requests). AUCD is planning to roll out several new resources and we would like to have current trainees review them before their release. All requests will include pointed questions about your reactions.

After completing the first three items above, trainees awarded the travel scholarships must submit a proper reimbursement form and relevant receipts to AUCD detailing their reimburseable travel costs. The form must be sent to AUCD not later than 30 days (December 8, 2017) after the end of the Conference. All applicable receipts (keep a copy for your records) must be included. AUCD will then reimburse allowable travel expenses to the trainees awarded scholarships for this year.

Volunteer Scholarships (4 available)

Volunteering at the AUCD Conference is a great opportunity to not only reduce your costs of attending the Conference but also receive hands-on leadership and learning opportunities about the AUCD network and the management of a national Conference. The trainees receiving these scholarships are required to complete 6 (six) hours of volunteer time at the AUCD Conference by assisting AUCD staff. Possible volunteer activities include staffing the registration table, assisting with trainee-related events, managing rooms during concurrent sessions and poster symposia, as well as other activities as volunteer schedules allow.

Volunteer Scholarship Requirements

  1. Trainees (or their Center) are expected to pay all costs associated with their attendance at the conference upfront in their entirety.
  2. Trainees volunteering must communicate with the AUCD staff member and show up at the appointed time and place, and carry out appointed activities. If there is an activity the trainee would like to attend that either might pose a conflict for volunteering or that the trainee would like to specifically volunteer at, the trainee must communciate that to AUCD at least two (2) weeks before the Conference.
  3. Trainees awarded the volunteer scholarships must submit a proper reimbursement form and relevant receipts to AUCD detailing their travel costs. The form must be sent to AUCD not later than 30 days (December 8, 2017) after the end of the Conference. All applicable receipts (keep a copy for your records) must be included. AUCD will then reimburse allowable travel expenses to the trainees awarded scholarships for this year.

Application Process

Interested trainees for either opportunity are requested to submit a brief application online here. Note: trainees are welcome to apply for both scholarship types, but only one scholarship will be awarded per trainee. Download the attached application form and fill it out, submitting the completed form online as well as required attachments. What is an Allowable Expense?

Travel expenses allowable under this scholarship include coach class air or reasonable ground travel and hotel accommodations. Additional details on allowable costs are included with the reimbursement form. Registration and poster charges for the Conference are not allowable.

Deadlines

The deadline for this application is September 27. Trainees who have been selected will be notified shortly afterward so that they may register for the conference if the Trainees haven not done so already. The Conference registration deadline is October 20.

The deadline for submitting the summary statement and travel expense form to AUCD is not later than 30 days after the conclusion of the Conference, or December 8. This is a firm deadline and submission of expenses after this date may result in you not receiving the scholarship funds.
